The June minutes were approved.
Yalan Qi (ITD) will be attending RSTG meetings for the next 6 months.
Review of Action Items:
- Sharon emailed CPs TPAM IT request to Hongyan.
- Excel procedures discussion is on hold as may not be able to combine the three cash reports.
- Everly has completed the Circ calendar issue
- Nancy will report back on the question of whether RSTG is to consider e-reserve for SG. (postponed until 8/17 meeting)
1. ITD Update (Hongyan)
- Circulation Recurring Tasks List(CRTL) being developed as a management tool for ITD. Information such as open and closed dates will be sent, by each library, to ITD each January and August. RSTG approved the CRTL. Hongyan will send an announcement to COI announcing that the CRTL is now in use. ITD will continue to update the information in the Circ calendar that all the libraries share.
- Shared Aleph Circulation Accounts - For audit purposes new policies require that each Aleph user must have a personal password. This impacts not only staff but student workers who may have been using a generic password. The proposed solution is to create enough accounts to cover all students and assign names to the accounts. As students leave new students will be assigned to vacant accounts. Each campus will be responsible for creating the necessary accounts. The account request form is available on the USMAI website, under the forms link. Yalan will send this information out to the Campus Contacts.
- Media Booking Hongyan has sent out two reminders about the fall semester media booking implementation and received no responses. The USMAI workplan has been updated with the detailed timeline for the implementation.
2. ILL Subgroup Update (Robin)
- SG recommendations progress/problems? The ILL Subgroup did a webpage revision for the Shady Grove library website that included information links to each of the 9 campuses library websites. The document delivery for SG plan, approved by CLD, has been distributed. ILL Subgroup will do a survey of the 9 participating libraries to determine if all are providing document delivery for their SG patrons.
- IDS Project - CLD funded travel and conference registration to the IDS meeting in Geneseo, NY. for Sharon Epps, Robin Moskal and Carol Vaeth who will be investigating TPAM and ALIAS. Three USMAI libraries, UMBC, HSHSL and Towson are now using TPAM. UMUC, UB and UMCP hope to be using it soon. TPAM allows for tracking of ILL processing within the USMAI from both the borrowers and lenders perspectives.
3. Circ Subgroup Update (LaTanya) the Subgroup has not met
- Policies/Procedures as topic for Circ group discussion at next meeting? no information
- parking lot may have been addressed
- workplan still working
- Nancy and Sharon will discuss the future direction of the Circ Subgroup.
4. ECCTG Update (Megan)
- Rights and restrictions language for ERM licensing database (refer to email from Megan dated 7/15/09) - Megan reported that the ECCTG is looking at ERMS and will make recommendations to CLD. The license database administrators view looks promising.
5. Chairs' Update
- RSTG Workplan still a work in progress as Sharon continues to work on it.
- Proposed change in error message in catalog UITG proposed changing error wording. RSTG suggests system is unable to process your hold request. Please contact the Library Circulation staff for assistance. Sharon will forward this wording suggestion to UITG.
- Paging of Materials (Aleph) Sharon asked if anyone besides UMCP was interested in providing paging services on their campuses. No one else is interested.
6. Roundtable (anyone with news to share)
- Reports from ALA Annual Conference Sharon attended a program on NCIP dealing with interoperability between systems. Robin attended the OCLC Discussion group meeting with more information on resource sharing and the ILLiad implementation. UMBC is beta testing ILLiad 8.0.
- Yalan announced that the Aleph contract will end in Dec. 2013 and CLD is asking the task groups to keep that on their radar. Each TG needs to come up with a list of 3 reports that we would like ITD to develop and how explain how the reports would be used. ITD is asking the campuses what data can be purged or done without if/when we migrate to a new system.
Action items:
- Hongyan will investigate the implementation of TPAM at UMCP.
- Sharon will talk to Nancy about the Excel cash reports.
- Nancy will report back on the question of whether RSTG is to consider e-reserve for SG.
- Yalan will send the shared Aleph circulation accounts information out to the Campus Contacts.
- Sharon will invite new Shady Grove librarian Irene Munster to the August 17 RSTG meeting. (The ILL Subgroup will meet with her following the RSTG meeting.)
- Nancy and Sharon will discuss the future direction of the Circ Subgroup.
- Sharon will forward the error message wording suggestion to UITG.
- Sharon will get an update on the closures of sections of the Bowie and Coppin libraries.
Next RSTG meeting will be August 17, 2009, at the UMBC Tech Center, 10 am 12 pm.
